# How to Read an Order Details Page

Open a single order to see what was purchased, what's been paid against it, and what action to take next.

### Before you begin (Prerequisites)

* **Permissions**: Administrator, Supervisor, Manager, Support, or Account Rep. See: [How to Manage Users and Permissions](/products/control-panel-overview/admin-overview/manage-roles-permissions.md).

### Instructions

**Opening an order:**

1. Navigate to [**SELL > View Orders**](https://control.peoplevine.com/orders) and apply filters. See: [How to Navigate the Order History Page](/products/control-panel-overview/transactions-overview/navigate-order-history.md).

> **Note (Pro Dash):** Navigate to **Sell > Ecommerce > Order History**.

2. Click **VIEW** on any order row to open its receipt.

> Alternative entry point: from the CRM profile **Orders** section (see [How to View a Member's Orders](/products/control-panel-overview/transactions-overview/view-member-orders.md)), click **VIEW ALL** and click into a specific order.

### Page sections

A coloured **status banner** at the top announces the order's state — for example, *"This Order is Complete"* on a completed order.

**Top action buttons** — what you can do from this page:

| Button                       | What it does                                                                                 |
| ---------------------------- | -------------------------------------------------------------------------------------------- |
| **PRINT** (black)            | Open the browser print dialog                                                                |
| **DOWNLOAD AS PDF** (black)  | Download the order receipt as a PDF                                                          |
| **VIEW CUSTOMER** (green)    | Open the linked CRM profile                                                                  |
| **CHANGE CUSTOMER** (green)  | Reassign the order to a different CRM record. Does not reassign any associated transactions. |
| **ADD ITEM TO ORDER** (blue) | Add another line item                                                                        |
| **E-MAIL RECEIPT** (orange)  | Email the receipt to the customer                                                            |
| **RE-ORDER** (black)         | Create a new order based on this one                                                         |

**Order Receipt header — status pills** — a row of pills shows the order's active flags: Paid, Verified, Pulled, Shipped, Completed, Followed Up, Returned, Modified. Active flags are highlighted; inactive ones are greyed out. The same flag set is used in the Order History page's **Additional Order Filters** block.

**Order info (left column):**

| Field             | What It Shows                                                    |
| ----------------- | ---------------------------------------------------------------- |
| **Order Number**  | Peoplevine order number                                          |
| **Order Date**    | Date and time the order was created                              |
| **Last Modified** | Date and time of the most recent edit                            |
| **Order Type**    | Type of order (e.g., `purchase`)                                 |
| **Order Status**  | Current order status (see status reference below)                |
| **Order Via**     | Channel through which the order was placed (e.g., `ecommerce`)   |
| **Order Source**  | Source detail when the order is synced from a connected platform |
| **PO#**           | Purchase order number, when applicable                           |

**Account Information (right column)** — customer name, email, and phone for the linked CRM profile.

**Items table** — line items with columns Pulled / Photo / Product / Price / Quantity / Total / Options. The **Pulled** dropdown tracks units pulled for fulfillment. A **MODIFY** (green) button opens the modify-line-item flow — this button only appears on Peoplevine-originating orders (Virtual POS, ecommerce). Synced orders from POS or Spa integrations show the total only, with no Modify option.

**Payments made on this order** — a line below the items table reads *"The following payments were made on this order:"* followed by a bulleted list of every linked transaction (`#[Trx#] - [tender] - [status] - $[amount] - [datetime]`). Click the transaction number to open the linked Transaction Details page.

**Right-side totals:**

* **Subtotal**
* **Discounts** (shown in red when a discount is applied)
* **Shipping Cost** — typically only present on Peoplevine-originating orders (Virtual POS, ecommerce)
* **Service Fee** — appears when a service fee is configured (e.g., credit card surcharge on membership dues)
* **Sales Tax**
* **Order Total**
* **Balance Due**

**Apply a Discount** — apply a flat-amount or percentage discount via the Amount input + $/% selector + **APPLY** (green). Additional buttons (**EDIT TAX**, **EDIT TIP**, **EDIT SHIPPING COST**) allow adjustments on Peoplevine-originating orders only.

**Order Notes** — attach internal notes to the order. Choose a note type from **Add a Note**, enter the note in the textarea, and click **ADD NOTE** (green).

### Status reference

The page anatomy applies to all orders. The visible state shifts based on `Order Status` and which pills are active. Full definitions: [Status Codes Reference](/status-codes-reference.md).

| Status         | What it means                                                                                    |
| -------------- | ------------------------------------------------------------------------------------------------ |
| **Processing** | Order open or not fully paid — used for open POS tabs and in-progress eCommerce checkouts.       |
| **Completed**  | Paid in full and closed. For physical products, fulfillment may follow (pull → ship → complete). |
| **Pending**    | Order paid but the physical product hasn't shipped yet. Used in ShipStation integration mapping. |
| **Shipped**    | Physical product shipped. Tracking added.                                                        |
| **Refunded**   | Full or partial refund applied; refund transaction linked to the original order.                 |
| **Cancelled**  | Order voided. No further fulfillment.                                                            |

### Best Practice

* **Click the transaction number under "The following payments were made..."** to trace the order's payment record. It opens the Transaction Details page where you can refund, void, or reconcile.
* **Cancel via CANCEL ORDER rather than refunding the linked transaction directly** — cancellation processes the refund and closes the order in one step. See: [How to Cancel an Order](/products/control-panel-overview/refunds-adjustments-overview/cancel-order.md).
* **Always amend orders from the originating system.** If the order came from a POS, Spa, or Hotel integration, make changes in that system — not in Peoplevine. Editing synced orders in Peoplevine may produce inconsistent data between the two systems.
