# How to Navigate the Order History Page

### Before you begin (Prerequisites)

* **Permissions**: You must be an **Administrator**, **Supervisor**, **Manager**, **Support**, or **Account Rep**. See: [How to Manage Users and Permissions](/products/control-panel-overview/admin-overview/manage-roles-permissions.md).

### Instructions

**Opening the page:**

1. Navigate to [**SELL > View Orders**](https://control.peoplevine.com/orders).

   > **Note (Pro Dash):** Navigate to **Sell > Ecommerce > Order History**. The page title displayed at the top is **ORDER HISTORY**.

**Top page actions:**

A row of three buttons sits in the top-right of the page:

| Button                       | What it does                                                                   |
| ---------------------------- | ------------------------------------------------------------------------------ |
| **MANAGE ALERTS** (blue)     | Opens the order alerts configuration                                           |
| **EXPORT DATA** (light blue) | Opens the **Build a Custom Report** page with sales data fields pre-toggled on |
| **NEW ORDER** (green)        | Starts a new order                                                             |

**Using quick filters:**

2. Click any quick filter tab to pre-set the list. The tabs are arranged in two rows:

> **Row 1:** ALL ORDERS · PAID NOT SHIPPED · LOCAL DELIVERY ORDERS · PICK UP ORDERS · SHIPPING ORDERS · COMPLETED ORDERS
>
> **Row 2:** PENDING ORDERS · MEMBER ORDERS · DISCOUNTED ORDERS · TAX REPORT

> The same filter tabs are available when you click through to a customer's full order history from their CRM profile — they then apply within that customer's orders.

**Using the filter panel:**

3. Use the filter panel below the quick filters to narrow results. Available filter fields:

| Filter                      | What It Controls                                                                                                                                                                                                                             |

| **Search Customer**         | Search by member name or location                                                                                                                                                                                                            |

| **Search External Order #** | Search by an external order ID synced in from a connected platform                                                                                                                                                                           |
| **User**                    | Filter by the user who placed or processed the order                                                                                                                                                                                         |
| **Search Product**          | Search by product name on the order                                                                                                                                                                                                          |
| **Pre-Defined Report**      | Apply a saved report definition (default: All Orders)                                                                                                                                                                                        |
| **Sort by**                 | How results are ordered. Options: Recent Orders (default), Oldest Orders, Requested On, Order Total (low to high), Order Total (high to low), Total Tax (low to high), Total Tax (high to low).                                              |
| **Order Channel**           | Filter by source — eCommerce Orders, Point of Sale, Food & Beverage Flow, 3rd Party POS, Spa, Hotel. See: [How to Identify Where a Transaction Originated](/products/control-panel-overview/transactions-overview/identify-order-source.md). |
| **Order Status**            | Filter by order status — Processing, Completed, Refunded, Pending, Shipped, Cancelled. See: [Status Codes Reference](/status-codes-reference.md).                                                                                            |
| **Delivery Type**           | Filter by delivery type                                                                                                                                                                                                                      |
| **Location**                | Filter by business location                                                                                                                                                                                                                  |

4. Two checkboxes sit below the filter panel:

| Checkbox                         | What it does                                                |
| -------------------------------- | ----------------------------------------------------------- |
| **Hide Walk-In Customer Orders** | Excludes orders associated with the Walk-In customer record |
| **Hide $0 Orders in Process**    | Excludes in-progress orders with a $0 total                 |

5. Click **APPLY** (black) to apply your filters.

> **Note**: Additional filter options are available below the order list — see **Using Additional Order Filters** further down.

**Reading the order list:**

6. The result count appears above the list (e.g., *"We found 28 orders matching your filters."*). The list shows the following columns:

| **Status**        | Order status — e.g., `purchase` with a `completed` (green) sub-badge                                                                                                                                                                                                                                                                                                     |
| **Location**      | Business location of the order                                                                                                                                                                                                                                                                                                                                           |
| **Photo**         | Customer photo                                                                                                                                                                                                                                                                                                                                                           |

| **Order Total**   | Order amount plus a status badge — **Paid in Full** (green), **Invoiced** (blue), **Due: $X.XX** (orange), **completed** (gray), or **Cancelled** (red). Discount appears as **DISC: $X.XX** in red.                                                                                                                                                                     |
| **Options**       | Action buttons per row: **VIEW** (blue) opens the order receipt — see [How to Read an Order Details Page](/products/control-panel-overview/transactions-overview/read-order-details.md); **VERIFIED** (green) marks the order as fulfilled; **PULLED** appears once verified. A `(Status: completed)` note appears below the **VIEW** button when the order is complete. |

**Reading the Order Stats and Revenue summary:**

7. Below the order list, three summary blocks appear side by side:

**Order Stats (all pages)** — totals across the entire filtered result set:

* `Total Orders` — count

**Orders (this page)** — counts grouped by status, with `(Due: $X.XX)` showing outstanding amounts where applicable:

* `Completed`
* `Processing`
* `Pending`
* `Cancelled`

**Revenue (all pages)** — dollar totals across the entire filtered result set, grouped the same way, with a sub-breakout under Completed:

* `Completed` ($X.XX) (Due: $X.XX)
  * `Tax Collected`
  * `Discounts Applied`
* `Processing`
* `Pending`
* `Cancelled`

**Using Additional Order Filters:**

8. Below the summary blocks, an **Additional Order Filters** section provides three more groups of filters as checkboxes:

**Orders with Status** — include orders that have any of these statuses applied:

> Paid · Verified · Pulled · Shipped · Completed · Followed Up · Returned · Modified

**Orders without Status** — exclude orders with any of these statuses:

> Paid · Verified · Pulled · Shipped · Completed · Followed Up · Returned · Modified

**Reports** — toggle reporting/display options:

| Option                                   | What it does                                                  |
| ---------------------------------------- | ------------------------------------------------------------- |
| **Generate Tax Report**                  | Generate a tax report from the current filtered set           |
| **Display Shipping, Tax, and Discounts** | Show shipping, tax, and discount breakouts in the result list |
| **Show Orders with Over/Under**          | Show orders flagged as over or under the expected amount      |
| **Only show orders with a balance due**  | Restrict to unpaid / partially paid orders                    |
| **Only show orders that were overpaid**  | Restrict to orders where payment exceeded the order total     |
| **Show non-member orders**               | Include orders not linked to a member                         |
| **Show member orders**                   | Include orders linked to a member                             |
| **Show discounted orders**               | Restrict to orders with a discount applied                    |
| **Resync orders**                        | Re-trigger sync for the matching orders                       |

9. Click the **APPLY** button (light blue) inside the Additional Order Filters block to apply these settings.

**Cancelling an order:**

10. To cancel an order, open the order receipt and use the **CANCEL ORDER** action — see: [How to Cancel an Order](/products/control-panel-overview/refunds-adjustments-overview/cancel-order.md).

**Exporting:**

11. Two export paths are available from this page:
    * **Top-of-page EXPORT DATA** button — opens the Build a Custom Report page with sales data fields pre-toggled on.
    * **Export Data section** (bottom of page) — labelled *"Select from one of the following reports to export your data:"* — exposes pre-defined export buttons that vary by tenant configuration. Examples: **ORDERS SCHEDULED TO SHIP**, **ORDERS PLACED IN \[CURRENT MONTH]**.
