# How to Build & Send an Email Newsletter

### Before you begin (Prerequisites)

* **Permissions**: You must be an **Administrator**, **Supervisor**, **Manager**, **Support**, or **Account Rep**. See: [How to Manage Users and Permissions](/products/control-panel-overview/admin-overview/manage-roles-permissions.md).
* **Admin Setup**: If using a custom From address, authorize it first via "Request to Send From".
* **Decision**: Know which **Type** you need — **Marketing Newsletter** (sends to a group or individual), **Triggered Response** (automatic on a system event), or **Campaign** (multi-step sequence).

### Instructions

#### 1. Open a new newsletter

Navigate to [**CONNECT > Manage E-mails**](https://control.peoplevine.com/newsletters?message_type=email) and click the green **COMPOSE E-MAIL NEWSLETTER** button.

> **Note (Pro Dash):** Navigate to **CONNECT > Group Messaging > View E-mail Newsletters**, then click **Send E-mail Newsletter**.

> **Builder version**: When composing, pick the builder from the version dropdown. **Email Builder v2** is the current block-based builder (new accounts default to it) — see [How to Use Email Builder v2](/products/control-panel-overview/communications-overview/email-builder-v2.md). The original (v1) builder remains available; v1 and v2 emails are built in separate systems and can't be opened in the other. The audience, preview, approval, and sending steps below are the same for both.

#### 2. Configure the basics

* Set **Delivery Medium** to **E-mail**.
* Select the **Type**: **Marketing Newsletter**, **Triggered Response**, or **Campaign**.
* Enter the **Campaign Name**, **Newsletter Subject**, and **Preview Text**.
* Set the **Status**: start with **Pending Approval** (draft mode); set it to **Approved** when the email is ready to send. To cancel or clean up an email, set it to **Denied** or **Archived**.
* Choose the **Newsletter Layout** that will wrap the newsletter (**v1 builder only** — the v2 builder does not use newsletter layouts).
* Optionally **Assign to a Category** to group similar newsletters. This is for internal reference only — it groups look-alike emails (e.g. templates) so your team can find them quickly.

#### 3. Set the delivery options

* Set the **Sending Address** and **Reply-to Address**.

#### 4. Set the newsletter details

* Optionally add a **CC** so a copy is also sent to the CC address on each recipient's CRM profile.
* **Send as priority message** — overrides members' opt-out preferences (see the warning below).
* **Remove default opt-out link** — Peoplevine automatically adds an unsubscribe link to the footer. Toggle this on only if you have built your own, more branded unsubscribe link into the email.

> **Warning**: Enabling the **Send as priority message** toggle overrides opt-out preferences — members who unsubscribed will still receive the message. Reserve this for urgent or safety-related communications only (e.g., emergency closings, critical account updates). Commercial misuse may violate CAN-SPAM and international spam law.

#### 5. Build the content

Click **CONTINUE** to open the builder.

> These build steps describe the original (v1) builder. **For new emails we recommend Email Builder v2** — the current block-based builder. See [How to Use Email Builder v2](/products/control-panel-overview/communications-overview/email-builder-v2.md).

* Double-click snippets (images, text, buttons) to add them.
* Hover over any block's outer wrapper to move or delete it.
* Use the link picker to search for events, blog posts, or forms by name.
* Optionally add dynamic content for membership info or upcoming bookings. Contact the Peoplevine Support team for assistance with dynamic content setup.

> **External URLs with special characters**: When pasting a link that contains an ampersand (`&`) or other special characters, URL-encode the character first or use a URL shortener. Peoplevine wraps tracking parameters onto outbound email links — an unencoded ampersand breaks the wrap and the click resolves to the Member Portal instead of the intended destination. Common replacements: `&` → `%26`, space → `%20`, apostrophe (`'`) → `%27`, quotation mark (`"`) → `%22`.

#### 6. Preview and approve

* **Save and exit the builder** to return to the newsletter detail page.
* Test the email from the **Newsletter Information** panel: **SEND ME A PREVIEW** sends a copy to your own account email, and **PREVIEW ON WEB** opens it in a browser. You can also use **SEND TO INDIVIDUAL** (in the **Newsletter Recipients** section) to send a copy to a specific person. Check formatting, links, and dynamic content first.
* Click **REVIEW & APPROVE FOR SENDING** to approve.

> **Test every link in the preview**: Click each URL in the preview email to confirm it resolves to the intended destination (see the special-characters note above).

> **Important**: Marketing Newsletters require explicit approval before they can be sent. Triggered Responses and Campaign templates activate immediately.

#### 7. Select recipients and schedule

> **Note**: You only need to select recipients and set a send time if this newsletter is **not** a Triggered Response and is **not** part of Campaign logic.

* In the **NEWSLETTER RECIPIENTS** section, click **+ SELECT RECIPIENTS** to choose a group or segment, or **SEND TO INDIVIDUAL** to send to one person. * In the **SCHEDULE** section, send now or set a future delivery time.

> **Note**: "Send Now" fires at the next 15-minute interval (:00, :15, :30, or :45 past the hour), not instantly.
