# How to Add House Credit

### Before you begin (Prerequisites)

* **Permissions**: You must be an **Administrator**, **Supervisor**, **Manager**, **Support**, **Waitstaff**, or **Account Rep**. See: [How to Manage Users and Permissions](/products/control-panel-overview/admin-overview/manage-roles-permissions.md).
* **House Account (Stipend only)**: To issue a Stipend that the member can charge via house account, enable the house account on their profile first. See: [How to Configure House Account Billing](/products/control-panel-overview/admin-overview/configure-house-account-billing.md).

### Instructions

1. Navigate to [**SELL > View All Issued Certificates**](https://control.peoplevine.com/giftcards).

   > **Note (Pro Dash):** Navigate to **SELL > Gift Cards + Stipends > View All Issued Certs**.
2. Click **Sell a Gift Card/Issue Stipend**.
3. Search for the member, select them using the radio button, and click **USE THIS PERSON**.

**Complete the Charge For Gift Card form:**

4. Under **Certificate Type**, select the type:
   * **Gift Certificate** — general-purpose stored value. Applied to house account payments by default. Works across integrations (POS, Spa, etc.).
   * **Stipend** — house credit for the member to spend. Works across integrations. Applied to house account payments only if the **House Account Credits** company setting is set to **All Credit Types** — see [How to Configure Company Settings](/products/control-panel-overview/admin-overview/configure-company-settings.md).
   * **Deposit** — deposit held against future charges.

> **Note**: Only **Gift Certificates** and **Stipends** display in the Member Portal.

5. Set the **Expiration Date** (use the Default Settings placeholder or enter a specific date). The **"Send an e-mail with certificate balance and usage information"** toggle controls whether the member receives a notification email.

> **Best Practice**: Recommend toggling the automatic email **off**. The email is unbranded Peoplevine boilerplate and can confuse members.

6. Under **"Where can this gift card be used?"**, select the restriction — **General**, **Food & Beverage**, **Hotel (PMS only)**, or **Spa & Wellness**. See **Restriction types** below for what each covers.
7. Under **"Where can it be used?"**, select the scope — **Local Only** or **Global network**. See **Restriction types** below.
8. Enter the **Amount** (and any **Discount**).
9. Under **Payment Information**, select the **Payment Type**:
   * Use **Comped** to issue the credit at no charge to the member.
   * Use another payment type (Credit Card, Cash, etc.) if the member is paying for the credit.
10. Click **PROCESS CHARGE**.

> **Note**: Stipends and gift certificates issued here cannot be used as the payment method for recurring subscription billing. As a workaround, set the subscription billing to Invoice mode — when processing the invoice, select Gift Certificate/Stipend as the payment type.

> **Note**: For event deposits received via Tripleseat, the credit must be assigned manually in Peoplevine — there is no automation that converts a Tripleseat deposit into a Peoplevine credit. Once assigned, the F\&B team can apply the credit towards event costs in the POS order using the Auto or Credits tender.

### Restriction types

Restriction types define where a gift card or stipend can be redeemed. They apply to **both gift cards and stipends**.

> **Prerequisite**: The **"Where can this gift card be used?"** selector only appears if **Gift card and redemption rules** is enabled in your platform settings. If you don't see it when issuing a credit, enable that setting first.

**Where it can be used:**

| Option               | Where it can be redeemed                                   |
| -------------------- | ---------------------------------------------------------- |
| **General**          | Any eligible charge across POS and the Member Portal       |
| **Food & Beverage**  | Restaurant, bar, and café charges                          |
| **Hotel (PMS only)** | Room bookings and stays via the Property Management System |
| **Spa & Wellness**   | Spa, gym, pool, and fitness charges                        |

**Location scope:** The **"Where can it be used?"** dropdown defaults to **Local Only** — redeemable only at the issuing venue. Select **Global network** to allow redemption across all clubs in the network (the label varies by brand).

> **Note**: Global scope is only available if gift cards are enabled to be used across a global network under your gift card / house account platform settings. Global credits also do not work across currencies — they work only within single-country networks where all properties share the same currency.

**Where the restriction shows:** A credit with a restriction other than **General** displays a **Restricted \[type]** badge — e.g., "Restricted POS" for Food & Beverage — next to the serial number in the **Gift Card List**, in the **Gift Certificates** table on the member's CRM profile, and on the **Edit Gift Card** screen.

> **Note (bulk import)**: In an import file, the `reference_type` column must use one of these values — leave **blank** for General, `POS` for Food & Beverage, `PMS` for Hotel (PMS only), or `FOB` for Spa & Wellness. Any row with an unsupported value (e.g., `event`, `order`, `reservation`) is rejected on import with a clear error; valid rows still process.

### How members see credits in the portal

Members see their credits in a dedicated **House Credits** tab in the portal Wallet (Account > Wallet > House Credits), grouped by where they can be redeemed:

* **General** — usable across the portal and in person.
* **Hotel** / **Food & Beverage** / **Spa & Wellness** — shown for visibility, but redeemable **in person only** through the relevant integration (PMS, POS, or spa).

Only **General** credits can be redeemed directly in the portal; the other types are displayed so members see their full balance but are used in person. Within each type, credits are grouped by expiration date, and an **"Expiring soon"** tag appears on any credit expiring within 7 days.

> **Note**: The credit names, descriptions, and the "In Person / Portal" usage tags can be customized (or hidden) for your club. Contact your Account Manager or Support to adjust how house credits are presented to members.

### What Happens Next

* **On the member side**: General credits are available at checkout (portal or POS); Hotel/F\&B/Spa credits are used in person through the relevant integration. The credit appears in the member's portal **House Credits** tab.
