# How to Configure Company Settings

### Before you begin (Prerequisites)

* **Permissions**: You must be an **Administrator**, **Supervisor**, or **Support**. See: [How to Manage Users and Permissions](/products/control-panel-overview/admin-overview/manage-roles-permissions.md).
* **Brand Assets**: Have your company logo, wallet logo, and contact information ready.

### Overview

Company settings are split across two pages under **Settings & Tools**:

| **Company Profile**   | Company name, address, branding, contact info, logos, colors, 2FA, web activity tracking                                                                            |
| **Platform Settings** | Transaction options, House Account processing, authorizations, taxes, subscriptions, CRM/Membership defaults, loyalty, commerce, gift cards, SSO, content languages |

### Configure Your Company Profile

1. Click the **company name** in the top-left corner and navigate to [**Settings & Tools > Company Profile**](https://control.peoplevine.com/admin_company_profile.aspx).
2. In **Company Information**, enter or update:
   * **Company Name** — displayed on passes.
   * **Company Address** — used for location-based coupons.
   * **Additional Line (e.g. VAT or ABN)** — displays on the footer of every invoice.
   * **Timezone**, **Default Language (for Portal)**, **Locale and Currency** (supported currencies include USD, GBP, EUR, AUD, CAD, MXN, and others), **Default Country Code**.
   * **About Your Company** — displayed on the back of every digital pass.
3. Under **Options**, toggle:
   * **Track anonymous web activity** — logs page views by IP and session ID.
   * **Enable Two-Factor Authentication (2FA)** — sends a verification code via SMS and e-mail to verify login. Requires an SMS gateway configured.
4. In **Contact & Social Information**, enter your **Website**, **E-mail Address**, **Phone Number**, and social URLs (Facebook, Twitter). The e-mail you enter here becomes the default sender for newsletters and passes.
5. In **Company Identification**, upload your **Company Logo**, **Company Icon**, and **Wallet Logo**. Set **Default Text Color** and **Default Background Color** as hex codes for pass branding.
6. Click **UPDATE PROFILE**.

### Configure Platform Settings

Navigate to [**Settings & Tools > Platform Settings**](https://control.peoplevine.com/admin_settings.aspx). The page has multiple sections below. Click **SAVE** at the bottom after editing.

#### Transaction Options

* **Transaction and Order Receipt PDF Version** — set the version of the PDF generated for transaction receipts. Options: **1.0 (Legacy)** and **2.0 (Regional Requirements)**.
* **Reporting Start Time / End Time** — sets the daily window used by reporting.
* **Payment Notifications** — disable to stop sending confirmation e-mails when an invoice is paid via the portal.

#### House Account Processing

* **Automatic House Account Collection** — how open invoices are auto-collected: **Do not auto process**, **Monthly (5th of the month, charges the previous month's transactions)**, or **Daily (every morning, covering all past transactions)**. When **Daily** is enabled, the system pays using the member's available **gift cards** (type "gift card" only — not stipends, rewards, or deposits) and charges the balance to their card/bank on file, routing F\&B to the POS processor, Spa to the Spa processor, and everything else to the Billing processor (or the default processor if there aren't multiple).
* **House Account Routing** — which processor routes non-specific House Account invoices: **Default Processor** or **Membership Dues Processor**.
* **House Account Credits** — how credits are applied when running House Account billing: **All Credit Types (Gift Cards, Stipends, etc.)** or **Gift Cards Only**. Choose **Gift Cards Only** to keep stipends and other voucher credits out of House Account billing — useful when you issue those credits toward membership dues and don't want them auto-consumed by House Account charges.

> **Note**: The monthly sweep runs at a fixed time (\~5 AM) and cannot be changed per tenant.

#### Authorizations

* **Disable Authorization** — when checked, payments capture immediately instead of being authorized then captured later.
* **Authorization Amount** — default **125%** of the original charge (leaves room for tips).
* **Process Authorizations Daily at** — time of day to capture authorizations.

> **Important**: The **Process Authorizations Daily at** setting only affects **POS order authorizations**. It does not control the subscription/invoice billing job.

#### Payment on File

* **Payment-on-File version** — **1.0 (Legacy)** or **2.0 (Regional Requirements)**.
* **Generate Invoice on 3DS Authorization** — controls what happens when a card-on-file payment requires **3DS** authorization. **Disabled:** the transaction is marked declined (a card that requires 3DS on every payment can't be used for card-on-file). **Enabled:** Peoplevine instead generates an invoice and triggers an email for the member to pay via the portal. Supports **Stripe (v2)** only, and requires the payment email trigger to be set up.

#### Taxes

Taxes are managed separately under Tax Groups and Tax Rules. Click **MANAGE TAXES** to open the tax configuration page. See: [How to Configure Tax Groups](/products/control-panel-overview/admin-overview/configure-tax-groups.md).

#### Subscriptions

* **Do not send out the default subscription e-mails** — disables the built-in subscription emails (only useful if you haven't set up triggered campaigns).
* **Members who fail billing are required to cover up to the past 3 months they are unpaid** — when re-activating after a failed billing more than a month later, the member is charged up to 3 months of back dues. Applies to members on hold that fail billing as well.

#### Marketing

* **Enable Newsletter Builder 2.0** — turns on the new newsletter builder (new templates and starter packs). Once enabled, all **new** emails use this builder; existing emails can only be edited in the old builder. #### CRM

* **Default new CRM records to opted-out** — controls what happens when a new CRM record is created and the source did not capture explicit marketing consent.

| **OFF**      | Opted-in, unless a form/application explicitly captures opt-out |
| **ON**       | Opted-out, unless a form/application explicitly captures opt-in |

**Precedence:** explicit consent always wins. If a form, application, or Member Portal flow captures Email Opt-In or SMS Opt-In, that explicit choice is saved on the CRM record. If no consent is captured, this company-level default applies. > **Global Network**: Marketing consent is stored per company/location. A member may be opted-in at one location and opted-out at another. When a member is added to another company in your network, that company's default behaviour applies unless explicit consent is captured for that company.

#### Membership

* **Membership Guest Sign-In Form** — select a custom form used to capture/build guest profiles at check-in.
* **Allow members to edit their member photo and first/last name when editing their profile** — lets members change these fields from their portal profile.
* **Send membership cards via legacy method** — legacy delivery option.

#### Survey & Applications

* **Enable our next generation form builder** — turns on the new form-builder flow (simpler setup with real-time preview). See: [How to Create a Form](/products/control-panel-overview/forms-overview/create-form.md).

#### Events

* **Default event graphic** — upload a PNG to use on any event that doesn't have its own graphic assigned.

#### Reservations

* **Allow Waitstaff Booking Status** — when enabled, users with the **Waitstaff** permission level can create and update reservation booking statuses (including **Pending**) without full Admin access. #### Directory

* **How do you want to treat new directory registrations?** — e.g., Place in Pending Status.
* **Business Tools Permissions** — per-permission checkboxes for scanning/validating membership cards, creating and managing events, and creating and managing offers. Permissions only apply when the business partner is the owner of the item.
* **Allow approved business partners to find people by name, e-mail, mobile or other identifying CRM fields** — when disabled, partners can only look up members by exact e-mail or mobile match.

#### Loyalty

* **Automatically redeem points for rewards** — toggle to auto-redeem points for rewards.

#### Commerce

* **Enable the ability to edit orders from 3rd party integrations** — lets staff modify items, pricing, and totals on orders that originated from an integrated system.

> **Warning**: Enabling this causes the Peoplevine and integrated-system totals to drift out of sync during audits. The recommended approach is to adjust the order in the integrated system and let it sync back to Peoplevine.

#### Company Page Visibility

* **Disable legacy/apply portal pages** — a checklist of page types (blog, check-in, commerce, directory, events, gift card, loyalty, membership, and more). Checking an item sets its `hideLegacy` flag and prevents that legacy/apply-portal page from being shown.

#### Gift Card and House Credit Settings

* **Enable the ability for members to use gift cards across other Global Network locations** — once enabled, you can assign the Global Network to perks and issued gift cards.
* **Stipend & Gift Card Redemption Rules** — define where and how stipends and gift cards can be redeemed.
* **ADJUST GIFT CARD EXPIRATION SETTINGS** — button to configure gift card expiration.

#### General Settings

* **Set my member cookies to work across all sub-domains** — enables a domain cookie across all sites on the same TLD (e.g., members.yoursite.com and public.yoursite.com).
* **Disable the confirmation when validating an offer or membership at a location** — skips the confirmation prompt at the redemption point.
* **Mobile App Push ID** — used when setting up a mobile app for your members.
* **SAML SSO Certificate** and **JWT SSO Certificate URL** — paste the certificate/URL here to enable SSO. See: [How to Configure SSO](/products/integrations-overview/configure-sso.md).

#### Cookies and tracking

Peoplevine uses **cookies and local storage only to manage the member's session and experience** — they are not used for marketing, tracking, or any other purpose.

The **member portal** does not surface a cookie-consent prompt. On your **application pages** (the Apply Domain, e.g. `apply.yourcompany.com`), you can enable a cookie prompt per page layout: open the page layout and toggle **Enable a Cookie Prompt**.

#### Content Languages

Lists the languages enabled on your portal. **English** is the Default. Add a new language from the **Choose new language** dropdown, or remove a language with the trash icon.

### Edit Language Translations

Translations localize page content into other languages enabled under **Content Languages**.

1. On the **Company Profile** page, click **Edit Language Translations** (top-right).
2. The **Language mode** sidebar opens on the right:
   * **This page is available on** — lists the languages already populated. Click **+ Add new** to add another language from your enabled list.
   * **Choose language to work on** — select the language to edit.
   * **Results** — enter the translated value for each field shown.
3. Click **SAVE**.

### What Happens Next

* **Company Profile changes**: Branding updates appear on passes.
* **Platform Settings changes**: Changes take effect after you click **SAVE**.
